Custom Residential Design/Build Firm seeks Full-Time Office Manager/Bookkeeper/Executive Assistant in the North West Suburbs of Chicago
Job description:
Bookkeeping/Payroll/Cash flow projections and analysis
Managing Draws/Accounts Payables/Receivables
Process Documentation and Flow Charting
HR management
Construction/Real Estate & Mortgage experience a plus
-Assist Sales Team, Design Staff, Project Managers and Realtors, with preparation of presentation materials
-Process all sales contracts, listing & closing paperwork, review and proofread letters and correspondence for accuracy and punctuation.
-Keep strict tabs on deadlines in contracts; appraisals, inspections, closing & occupancy dates.
-Follow up with client paperwork submissions; loan, tax return, employment and other information as needed.
-Prioritize and manage multiple projects simultaneously, and follow through on issues in a timely manner including correspondence with clients, vendors, trades and staff.
-Be responsible for heavy calendar management, including the coordination of complex executive meetings requiring interaction with entire staff as well as consultants.
-Arrange travel schedule and reservations for executive management and Executive assistant tasks
-Answer phones and direct all incoming calls to appropriate party promptly and efficiently
-Communicate and handle incoming and outgoing electronic communications
-Take on other duties as assigned.

Extensive QuickBooks & Excel Experience (creating and producing financial reports),

This is an excellent opportunity for an individual with a minimum of 3 years? experience working as an Office Manager/Bookkeeper/Executive Assistant. Analytical, Self-motivator, Multi-tasking, Organized, Unwavering attention to detail, excellent interpersonal and oral communication skills are a must. As well as the ability & desire to work in a fast paced environment managing multiple priorities, projects and deadlines.Experience in Residential/Commercial Construction, Real Estate Sales and Mortgage is a huge plus.
