We are looking to hire a Air Export Document Processing Team Lead (CHI: ) lead the Air Export Document Processing department in ensuring operational excellence, high productivity and customer satisfaction.
Responsibilities
* Split Down and audit files after team has completed data entry
* All three checklists in place and completed within file
* Ensure HAWBs are processed according to Document Preparation instructions
* Review DGR documentation to ensure compliance and Hazmat
* Completion of shift reports when required
* Ensure updating of customer report logs as assigned
* Assist Document Prepartion Supervisor as back up in daily E:Billing reports to find fatal errors and delegate corrections
* Accompany Management and Sales on customer visits to improve communication, process and build customer relations
* Address/solve service situations and escalation on PM shift, when required
* Assist Department Head and Ops Supervisor in training, education, cross:training to assure adequate and timely training and record keeping for department staff
* Assist Operations Supervisor in monitoring vendors' compliance in service and billing with service standards and requirements as per contract terms (GTW and domestic ISP and warehouse
* Monitor/supervise daily operation workload, and implement process adjustments as needed
* Monitor and avoid overtime and make schedule change recommendations to Operations Supervisor when work flows or customer needs deem necessary
* Analyze current document processing procedures to drive out operational efficiencies
* Work with Operations Supervisor to determine and enforce corrective measures to ensure operational excellence
* Evaluate direct reports performance on a regular basis, to assist Operations Supervisor and Department Head through the PEAR process
* Monitor and run daily E:Billing, COMBAS, INTRAC and Pantrace reporting to ensure all data is complete and reconciled
* Ensure team is entering defects into the Incident Handling Tool
* Attend Bi:Daily PM warehouse meeting, or delegate attendance to staff when required
* Hold regular meetings with team and provide agenda and meeting minutes within three business days after meeting
* Maintain up:to:date knowledge, compliance with and adjust process to accommodate new regulations:
* Corporate, Country, Business Unit and department policies and procedures
* Hazardous materials regulations
* US Export regulations including CFR 49 and D.O.T.
* Letter of Credit procedures
* Proprietary and external software programs
* Incoterms
* Assist Operations Supervisor with maintenance of Air Export Department KPI Board
* Ensure Document Processing Team are meeting their KPI
* Other tasks and duties as assigned by Operations Supervisor or Management
Qualifications
* Industry experience: minimum 3 years
* MUST be able to work Tues thru Sat 9:00 am to 6:30 pm
* Excellent and thorough knowledge of Air Export environment and its regulations
* In depth knowledge of air export and warehouse processes
* Supervisor experience i.e. Training and Development, Coaching, Performance Management
* Strong customer service orientation
* IATA DGR Certification preferred; If certification is not had, then first available initial or recurrent training course must be passed in order to maintain e
